IPsmarx Technology is looking for a bright, energetic individual to join their team for an Administrative/Customer Support Role.
This is a great opportunity to become a key contributor to our continuing growth and to explore any and all technologies related to our fields of expertise like: IP Telephony, Telecommunications, Prepaid/Postpaid Billing Software/applications, VoIP-based solutions for both carriers and enterprises, SQL programming, Cisco IP Networks.
Responsibilities:
- Manage, coordinate and maintain files for Accounting and Budgeting.
- Responsible for weekly data entry of accounting and budget information into Accounting Software “Quickbooks”.
- Assist in preparation of various financial reporting which includes gathering accounting information.
- Maintaining department tax and correspondence files.
- Manage day to day responsibilities for the day to day inputting, checking of invoices and submitting all expenses in a timely manner.
- Support Sales team by responding to emails, inbound calls or placing outbound customer calls and answering the phones and assisting callers.
- Contribute to the marketing tasks like: market research, potential clients database creation/maintenance, marketing campaigns (by email, cold calling) and follow-up.
- Answer customer questions regarding IPSMARX products and recommend solutions.
- Take lead or provide support for various Sales/Marketing or Administration assignments
- Provide strong administrative assistance for supervisors.
- Manage follow up on items delegated by supervisors to others.
- Attend meetings, conferences and briefings on supervisors’ behalf as appropriate and prepare briefing notes for Managers.
- Review and sort incoming correspondence and when appropriate draft responses for supervisors’ signatures, note supervisors’ availability on invitations, and highlight requests that need a response or have a deadline.
- Develop and maintain departmental files and tracking systems to ensure information is accessible to appropriate departmental staff.
- Process and submit departmental invoices.
- Draft and type memoranda and correspondence and generate routine reports using MS Office Applications.
- Draft and create complex PowerPoint presentations and large personalized mailings utilizing mail merge.
- Independently research, collect and compile data from multiple sources (including web-based searches) quickly and efficiently.
Education/Qualifications:
- University Degree/College Diploma or equivalent
- Minimum 2 years experience performing secretarial/administrative functions required.
- Good verbal and written communication skills
- Any foreign language would be an asset (Spanish, French, Russian)
- Strong organizational and presentation skills.
- Team player with initiative
- Strong interpersonal skills
- Ability to multi-task, problem solve, prioritize and work independently (i.e., with little to no supervision)
- Excellent computer skills and knowledge required in Microsoft, Windows, Microsoft Outlook, Word, Excel, Power Point, Lotus Notes, mailmerge and Accounting Software Quickbooks.
- Able to thrive in fast-paced, busy office environment.
